Frequently asked questions
General
Optima Radar is a web app that reads your hotel’s competitor rates, area occupancy, channel parity and Booking.com search rank every day. It is built by Optima Online Hotel Management (Optima OHM) for hotels in Turkey. Screens are ready in the morning, and every screen shows the date and time of the read.
Optima Pulse is the module for your own sales. It reads the reservation emails your PMS sends and prepares new bookings, cancellations, ADR, pick-up, channel mix, room type mix and arrival periods every morning. It runs on the same platform and login as Radar.
Radar looks outward: competitors, market and channels. Pulse looks inward: your reservations. Together, you see a night’s booking pace and that same night’s competitor rates side by side with one click. Each module can also be used on its own.
Independent city and resort hotels, boutique hotels, small chains and revenue managers running several hotels. No installation or technical team needed.
Yes. Radar and Pulse can be used on their own. They are included for hotels using Optima’s revenue management service.
No. Screens show the situation and the signals: your position against competitors, changing rates, nights selling out. The pricing decision is yours.
Competitor and market data
A rate shopper is a tool that regularly reads competitor hotels’ rates on online channels. Optima Radar is a rate shopper; it also offers area occupancy estimates, channel parity, Booking.com search rank, promotion tracking and AI questions (OptimAI).
Competitor rates are read from Booking.com. For parity, the channels your hotel sells on are read: Expedia, Trip.com, Agoda, Tatil Sepeti, Otelfiyat, ETS and similar. The list is set per hotel.
Every day. Competitor rates are read in the morning and reports arrive in the morning. Every screen shows the date and time of the read.
The lowest room rate on sale for that night, as a guest sees it on Booking.com. Genius, mobile and limited-time promotions are marked separately, so discounts and list rates are not mixed up.
It is where your hotel appears when a guest searches your area on Booking.com (for example Sultanahmet or Taksim). Radar runs the area search daily for the next 14 nights and shows the median of the 14 nights, with your competitors’ ranks alongside.
Whether your rates for the same room and night are equal across channels. Radar compares your rate on each channel with your Booking.com rate every day and shows which channel is cheaper or more expensive, and for how many nights.
No. Competitor occupancy is an estimate from signals such as availability, rooms left and rate movements, and is labelled as an estimate. Your own occupancy comes from your forecast report.
The hotel has no availability on Booking.com for that night: closed to sale or fully booked.
You set your competitor set together with the Optima team. Several sets can be defined; to change one, just write to the team.
Detailed reads can be queried on screen for 18 months. Changes in rate, promotion and sale status are kept indefinitely, so you can always see a night’s rate from months ago.
Pulse and email connection
From the reservation notification emails your PMS already sends. Your hotel gets its own Optima email address; your PMS also sends notifications there and Pulse reads them. No software installation or PMS integration needed.
1) In the app, click Connect Pulse and choose your PMS.
2) Your hotel’s own address appears (example: myhotel-4821@pulse.optimaohm.com); copy it.
3) Add it as an extra recipient in your PMS reservation notification settings. If your PMS can’t, set up a Gmail or Outlook forward.
4) When the first email arrives, check and confirm the fields read on screen. From then on it is automatic every day.
1) In Gmail go to Settings › See all settings › Forwarding and POP/IMAP › Add a forwarding address, and enter your hotel’s Optima address.
2) Gmail sends a confirmation code to that address; the code appears in the Optima app on the setup screen. Enter it in Gmail.
3) In the search box enter only your PMS sender address (From) and click Create filter.
4) Choose Forward it to and select your Optima address. Only PMS emails are forwarded; your other mail is not.
1) In Outlook go to Settings › Mail › Rules › Add new rule.
2) Condition: From = your PMS sender address.
3) Action: Forward to = your hotel’s Optima address.
4) Save the rule. Only emails from your PMS are forwarded.
The only required type is reservation notifications (new, modified, cancelled; real time). Two more are recommended: a daily morning forecast report (at least 90 nights) and a daily report of yesterday’s bookings. They strengthen occupancy and historical comparison.
Elektra and Oracle Opera reports are read directly. For Protel, Sedna, HotelRunner, SiteMinder, Mews and others, the Optima team prepares the reader when your first email arrives; it takes at most 2 business days and is automatic afterwards.
No. Pulse only reads the emails your PMS sends. No access to your PMS, password or API key is requested.
No. Only reservation and report emails from your PMS are read; everything else is ignored. With Gmail or Outlook forwarding, the filter only lets your PMS sender through.
Pulse uses dates, nights, amounts, channel and room type for analysis. Personal details such as guest names are not shown on screens or in reports; reservations are listed by confirmation number.
Shortly after the notification email arrives. The Today summary, pick-up and channel analyses refresh every morning with yesterday’s activity.
OptimAI
OptimAI is an AI assistant that answers questions about your selected hotel’s data in plain language. Example: “Which competitor raised rates this weekend?” or “Why did our Booking share drop last week?”
Only your hotel’s Radar and Pulse data. Each answer shows which screen it came from (its source). It cannot see other hotels’ data.
The daily question allowance depends on your plan.
Using the app
No. Radar opens in the browser; on a phone it can be added to the home screen and used like an app.
With one account you see every hotel and competitor set you are authorised for; switching hotels is one click.
It sends the day’s data as an Excel file to your own email address only. It can be sent 10 times a day.
Yes. The competitor rate report also arrives by email every morning; you choose the recipients.
Account, security and pricing
Yes. When you book a demo, your account is opened for the trial period.
Number of hotels, competitors, competitor sets and channels, the Pulse module and the OptimAI question allowance.
Two-step verification protects your account. If you remember your device for 30 days, the code is not requested at every login.
Only your hotel’s authorised users and, to the extent of the service, the Optima team. One hotel’s data is never shown to another hotel.
Use the “Forgot password” link on the login screen and a reset link will be sent to your email.
