Connecting takes one email address
No software to install, no PMS integration. Pulse reads the emails your PMS already sends.
Choose your PMS
Elektra, Oracle Opera, Protel, Sedna, HotelRunner, SiteMinder, Mews or others.
Add your hotel’s address
Also send reservation notifications to your hotel’s own Optima address. If your PMS can’t, a Gmail or Outlook forward is enough.
Confirm the first email
When the first email arrives we check the fields together; your corrections become rules for every later read. From then on it runs daily.
Pulse and email connection
Where does Pulse data come from?
From the reservation notification emails your PMS already sends. Your hotel gets its own Optima email address; your PMS also sends notifications there and Pulse reads them. No software installation or PMS integration needed.
How do I connect Pulse?
1) In the app, click Connect Pulse and choose your PMS. 2) Your hotel’s own address appears (example: myhotel-4821@pulse.optimaohm.com); copy it. 3) Add it as an extra recipient in your PMS reservation notification settings. If your PMS can’t, set up a Gmail or Outlook forward. 4) When the first email arrives, check and confirm the fields read on screen. From then on it is automatic every day.
How do I forward reservation emails from Gmail?
1) In Gmail go to Settings › See all settings › Forwarding and POP/IMAP › Add a forwarding address, and enter your hotel’s Optima address. 2) Gmail sends a confirmation code to that address; the code appears in the Optima app on the setup screen. Enter it in Gmail. 3) In the search box enter only your PMS sender address (From) and click Create filter. 4) Choose Forward it to and select your Optima address. Only PMS emails are forwarded; your other mail is not.
How do I forward from Outlook?
1) In Outlook go to Settings › Mail › Rules › Add new rule. 2) Condition: From = your PMS sender address. 3) Action: Forward to = your hotel’s Optima address. 4) Save the rule. Only emails from your PMS are forwarded.
Which emails do I need to send?
The only required type is reservation notifications (new, modified, cancelled; real time). Two more are recommended: a daily morning forecast report (at least 90 nights) and a daily report of yesterday’s bookings. They strengthen occupancy and historical comparison.
Which PMSs does it work with?
Elektra and Oracle Opera reports are read directly. For Protel, Sedna, HotelRunner, SiteMinder, Mews and others, the Optima team prepares the reader when your first email arrives; it takes at most 2 business days and is automatic afterwards.
Do I need a PMS integration or API?
No. Pulse only reads the emails your PMS sends. No access to your PMS, password or API key is requested.
Are my invoices, marketing or guest emails read?
No. Only reservation and report emails from your PMS are read; everything else is ignored. With Gmail or Outlook forwarding, the filter only lets your PMS sender through.
What about guests’ personal data?
Pulse uses dates, nights, amounts, channel and room type for analysis. Personal details such as guest names are not shown on screens or in reports; reservations are listed by confirmation number.
When do reservations appear?
Shortly after the notification email arrives. The Today summary, pick-up and channel analyses refresh every morning with yesterday’s activity.
One platform with Radar
Looking at a night in Pulse, that night’s competitor rates are one click away. Both modules, one login, one hotel selection.
OptimAI reads both modules
“Why did our Booking share drop last week, and what did competitors do that week?” Answered from Pulse and Radar data, with sources.
Reservation emails only
Invoices, marketing and guest correspondence are ignored. Data read is shown only on your own hotel’s screens.
